Terms of Service

These Terms explain the rules for using Applyio, including accounts, subscriptions, user content, acceptable use, and AI-generated recruiting materials.

1. Acceptance of Terms

These Terms of Service govern your access to and use of Applyio, including our website, platform, dashboard, application tracker, CV tools, cover letter tools, interview preparation tools, case practice tools, support features, AI-powered features, and related services.

By creating an account, accessing the platform, starting a subscription, using a feature, or otherwise using Applyio, you agree to these Terms. If you do not agree to these Terms, you must not use the platform.

Applyio is currently operated as a sole proprietorship. If the legal structure of the business changes in the future, these Terms will be updated accordingly.

3. Description of Service

Applyio is a recruiting workflow platform that helps users organize applications, manage recruiting materials, generate and refine CVs and cover letters, prepare for interviews, practice case-style questions, and keep application-related information connected in one place.

The platform may include AI-powered features, document processing, file generation, application tracking, support tools, user account features, billing features, and related workflow tools. Features may be changed, improved, limited, suspended, removed, or updated over time. Where a change to these Terms is material, we will provide notice as described in Section 26.

4. Eligibility

You must be at least 16 years old to use Applyio. By using the platform, you confirm that you meet this requirement and that you have the legal capacity to enter into these Terms.

If you use Applyio on behalf of another person, organization, university group, company, or other entity, you confirm that you have authority to do so.

5. User Accounts

You may need an account and an active subscription to access certain features. You are responsible for maintaining the confidentiality and security of your account and for all activity that occurs under your account.

  • You must provide accurate and current account information.
  • You must keep your login credentials confidential.
  • You must not share, sell, transfer, or make your account available to unauthorized users.
  • You must notify us if you believe your account has been accessed without authorization.
  • You are responsible for ensuring that your use of the platform complies with these Terms and applicable law.

6. Subscription Access and Billing

Certain features require a paid subscription or active plan. Subscription terms, prices, billing cycles, included features, and available plans may be displayed during checkout or inside your account area.

By starting a paid subscription, you authorize our billing providers to charge the applicable fees, taxes, and other amounts shown at checkout or otherwise agreed. Payments may be processed by third-party payment and subscription providers.

Unless stated otherwise, subscriptions renew automatically until cancelled. You are responsible for cancelling your subscription before the next billing period if you do not want it to renew.

7. Cancellations, Refunds, and Consumer Rights

You may cancel your subscription through your account area or by contacting us at support@applyio.app. Cancellation stops future renewals but does not automatically refund amounts already paid unless required by law or expressly stated otherwise.

If you are a consumer located in the European Union, the United Kingdom, or another jurisdiction with mandatory consumer protection rules, you may have statutory cancellation, withdrawal, refund, or conformity rights that cannot be excluded by these Terms.

Because Applyio provides digital services and digital content, including immediate access to platform features, generated materials, AI outputs, and document processing, your statutory withdrawal rights may be affected once performance begins. To the extent required by applicable law, this applies only where you have given prior express consent for performance to begin before the end of the withdrawal period and acknowledged that you may lose your withdrawal right once performance begins.

Nothing in these Terms limits cancellation, withdrawal, refund, conformity, or consumer protection rights that cannot legally be limited.

8. Free Trials, Promotions, and Beta Access

We may offer free trials, discounts, promotional access, beta access, early access, or limited-time offers. We may modify, limit, withdraw, or end these offers at any time unless we have expressly agreed otherwise.

Additional terms may apply to promotions, beta features, or early access programs. Beta features may be experimental, incomplete, less reliable, or changed without notice.

Beta, early access, or experimental features are provided without any service level commitment or guarantee of availability, accuracy, continuity, or data preservation. To the maximum extent permitted by law, we are not liable for loss of data, generated materials, outputs, settings, or workflow records arising specifically from beta, early access, or experimental features.

9. Fair Use and Usage Controls

Your subscription gives you access to the platform according to your plan, but it does not permit abusive, automated, excessive, or harmful use. We may apply reasonable usage controls, rate limits, cooldowns, request limits, security checks, or temporary restrictions to protect platform stability, prevent abuse, manage AI and infrastructure costs, and ensure fair access for all users.

These controls are intended to affect abnormal or abusive use, not ordinary recruiting workflows. We may suspend, restrict, or review accounts that show signs of misuse, automation, credential sharing, scraping, excessive generation, or activity that risks harming the platform or other users.

10. User Content

You retain ownership of the content you upload, submit, create, generate, edit, or store in Applyio, including CVs, resumes, cover letters, job descriptions, application records, interview answers, case practice materials, notes, files, and other recruiting-related information.

By using the platform, you grant Applyio a limited, worldwide, non-exclusive, royalty-free license to host, store, process, transmit, display, copy, modify, and use your content only as needed to provide, maintain, secure, troubleshoot, and improve the service and to generate the outputs you request.

You are responsible for ensuring that you have the right to upload and use any content you provide and that your content does not violate applicable law or third-party rights.

11. AI-Generated Content

Applyio may use artificial intelligence to generate, improve, summarize, structure, tailor, or provide feedback on CVs, cover letters, interview preparation materials, case practice materials, and other recruiting-related content.

AI-generated content may be inaccurate, incomplete, outdated, biased, unsuitable, or inappropriate for your specific situation. You are solely responsible for reviewing, editing, verifying, and deciding whether to use any AI-generated content.

Applyio does not provide legal, financial, tax, immigration, academic, employment, hiring, or professional career advice. Any generated content is provided as a drafting and preparation aid only.

Applyio does not guarantee job interviews, application success, assessment results, interview performance, offers, employment outcomes, salary outcomes, university outcomes, or recruiting results.

12. Document Processing and Generated Files

Some features may involve uploading, storing, converting, parsing, generating, previewing, or downloading files, including CVs, resumes, cover letters, PDFs, and related documents.

You are responsible for reviewing all generated documents before use. We do not guarantee that files will be formatted perfectly, accepted by any employer, compatible with every applicant tracking system, or free from errors.

You should keep your own copies of important documents. Although we aim to provide reliable storage and access, we are not responsible for your failure to separately save or back up important materials.

13. Acceptable Use

You agree not to:

  • Use the platform for unlawful, misleading, fraudulent, discriminatory, harmful, abusive, or deceptive purposes.
  • Upload, submit, or transmit malicious code, viruses, corrupted files, or harmful materials.
  • Attempt to access accounts, data, systems, files, APIs, webhooks, infrastructure, or areas of the platform without authorization.
  • Interfere with, overload, damage, disrupt, or impair the platform or connected services.
  • Reverse engineer, decompile, copy, scrape, crawl, mine, automate, or exploit the platform without permission.
  • Use bots, scripts, automated tools, or bulk workflows to generate excessive requests or bypass platform controls.
  • Share, resell, rent, sublicense, or commercially exploit your account or platform access without permission.
  • Use the platform to create or submit false, fabricated, infringing, defamatory, or unlawful materials.
  • Violate intellectual property rights, privacy rights, publicity rights, contractual rights, or other rights of others.
  • Attempt to bypass authentication, subscription checks, rate limits, security controls, access restrictions, or usage limits.
  • Use the platform in a way that could damage the reputation, security, availability, or integrity of Applyio or its users.

14. Prohibited Sensitive Information

Unless specifically necessary for your intended use, you should not submit highly sensitive information to the platform, including government identification numbers, financial account details, health information, biometric data, passwords, political opinions, religious beliefs, trade union membership, or other special-category personal data.

Recruiting materials often contain personal information. You are responsible for deciding what information to include in your CVs, cover letters, applications, notes, and other materials.

15. Third-Party Services

Applyio may rely on third-party services for authentication, account management, billing, payment processing, database storage, file storage, AI processing, document processing, analytics, infrastructure, email, support, and workflow automation.

We are not responsible for third-party services, websites, platforms, outages, policies, acts, or omissions that we do not control. Your use of third-party services may also be subject to their own terms and policies.

16. Intellectual Property

Applyio, including its branding, name, logo, design, interface, software, workflows, layouts, components, visual style, documentation, platform functionality, and original content, is owned by us or our licensors and is protected by applicable intellectual property laws.

Except as expressly permitted by these Terms, you may not copy, modify, distribute, sell, sublicense, reverse engineer, reproduce, or exploit any part of the platform without our prior written permission.

17. Third-Party Names, Logos, and Trademarks

The platform, website, marketing materials, examples, templates, or user interface may refer to third-party companies, employers, universities, organizations, platforms, brands, names, logos, trademarks, service marks, or trade names for identification, comparison, educational, illustrative, or recruiting context purposes.

All third-party names, logos, trademarks, service marks, and trade names remain the property of their respective owners. Their appearance on or in connection with Applyio does not imply any affiliation, partnership, sponsorship, endorsement, approval, authorization, or commercial relationship between those third parties and Applyio.

References to companies or employers are intended to describe the types of roles, industries, firms, or recruiting processes users may be preparing for.Applyio is not endorsed by, affiliated with, sponsored by, or officially connected to any employer or organization mentioned unless expressly stated in writing.

18. Feedback

If you provide feedback, suggestions, ideas, bug reports, feature requests, or other comments about Applyio, you grant us the right to use that feedback without restriction or compensation to you. We may use feedback to improve, develop, market, and operate the platform.

19. Privacy

Your use of Applyio is also governed by our Privacy Policy, which explains how we collect, use, store, share, and protect personal information, including how you may exercise data protection rights. Where applicable, data protection requests are handled within the timeframes described in our Privacy Policy and required by applicable law.

20. Service Availability and Changes

We aim to provide a reliable service, but we do not guarantee that Applyio will always be available, uninterrupted, secure, timely, accurate, or error-free.

The platform may be unavailable due to maintenance, updates, technical issues, infrastructure failures, third-party provider outages, security issues, or other reasons.

We may modify, update, suspend, limit, replace, or discontinue any part of the platform at any time, including features, integrations, AI models, workflows, pricing, plans, and availability. Where legally required or where changes materially affect your rights or obligations, we will provide notice as described in Section 26.

21. Account Suspension and Termination

We may suspend, restrict, or terminate your access to Applyio if we reasonably believe that you have violated these Terms, created legal or security risk, failed to pay fees, misused the platform, shared your account, exceeded reasonable use, attempted unauthorized access, or used the platform in a way that may harm us, other users, third parties, or the platform.

You may stop using the platform at any time. You may request account deletion by contacting us at support@applyio.app. Account deletion may be subject to legal, accounting, billing, security, backup, and dispute resolution requirements.

22. Disclaimer of Warranties

To the maximum extent permitted by law, Applyio is provided on an “as is” and “as available” basis, without warranties of any kind, whether express, implied, statutory, or otherwise.

We disclaim all warranties to the maximum extent permitted by law, including warranties of merchantability, fitness for a particular purpose, title, non-infringement, accuracy, reliability, availability, compatibility, and suitability for any particular recruiting, employment, academic, or professional outcome.

23. Limitation of Liability

To the maximum extent permitted by law, Applyio, its owners, directors, employees, contractors, service providers, affiliates, and licensors will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, lost opportunities, reputational harm, or employment-related outcomes.

This includes damages related to application outcomes, hiring decisions, interview performance, rejected applications, missed deadlines, inaccurate generated content, document formatting issues, third-party service failures, platform downtime, or your use of or reliance on the platform.

To the maximum extent permitted by law, our total liability for any claim arising out of or relating to the platform or these Terms will not exceed the amount you paid to use Applyio during the three months before the event giving rise to the claim, or EUR 100, whichever is greater.

Nothing in these Terms excludes or limits liability where it cannot legally be excluded or limited, including liability for intent, gross negligence, injury to life, body, or health, mandatory statutory liability, or mandatory consumer protection rights.

24. Indemnity

To the extent permitted by law, you agree to defend, indemnify, and hold harmless Applyio, its owners, directors, employees, contractors, affiliates, service providers, and licensors from and against claims, damages, liabilities, losses, costs, and expenses arising from or related to your use of the platform, your content, your violation of these Terms, your violation of applicable law, or your infringement of any third-party rights.

25. Governing Law and Disputes

These Terms are governed by the laws of Germany, unless mandatory consumer protection laws or other mandatory local laws provide otherwise.

If you are a consumer, you may benefit from mandatory rights and protections under the laws of your country of residence, and nothing in these Terms limits those rights.

If you are acting as a business, entrepreneur, or professional user, the courts of Berlin, Germany, shall have jurisdiction over disputes arising out of or relating to these Terms or the platform, to the extent permitted by law.

We encourage users to contact us first at support@applyio.app so that we can try to resolve concerns informally before either party starts formal proceedings.

26. Changes to These Terms

We may update these Terms from time to time to reflect changes in the platform, legal requirements, business operations, pricing, providers, or product features.

When we update these Terms, we will update the “Last updated” date at the top of this page. If changes are material, we may provide additional notice where appropriate, such as through the platform or by email.

Continued use of Applyio after updated Terms become effective means you accept the updated Terms. If you do not agree, you must stop using the platform and cancel your subscription where applicable.

27. Miscellaneous

These Terms, together with any plan terms, checkout terms, policies, or additional terms expressly incorporated by reference, constitute the entire agreement between you and Applyio regarding the subject matter of these Terms.

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will remain in effect. Our failure to enforce any provision does not waive our right to enforce it later.

You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition, reorganization, sale of assets, or change of control.
